Privacy Notice

The Council for Accreditation in Occupational Hearing Conservation (CAOHC) has developed this privacy notice (or policy) to relay its commitment to the privacy and confidentiality of its certification holders. This notice explains how we collect, use, and share the information that we have gathered from you.

COLLECTION OF PERSONAL INFORMATION

Our website collects information when customers register for courses or exams or order products. We collect contact information (e.g. name, mailing address, and email address) and financial information (e.g. credit card numbers) to bill the user.

CAOHC maintains records of all candidates to reflect their certification data (e.g. contact information, demographics, credential type(s), certification issue dates, expiration dates, ID number). Information is updated as it is received, and staff may access the database to make immediate updates.

PROTECTION OF PERSONAL INFORMATION

This website has security measures in place to protect against the loss, misuse and alteration of the information under our control.  The site is audited on a periodic basis to attempt to keep it up to date with security best practices, and protective measures are implemented on the site hosts. Despite security measures, we cannot guarantee that it will prevent third-party "hackers" from illegally obtaining information.

Certificate-holder’s use of the CAOHC website, will be accessed with an email address and a password created by the Certificate-holder. CAOHC staff do not have access to that password. Certificate-holder’s information is not stored on the web server.

Certification records are retained via electronic database and are secured by multiple levels of password protection steps including sign-in ID and password, database sign-in ID and password, as well as firewall and virus protections on the network.

HOW CAOHC USES YOUR INFORMATION

Contact information is used to contact the user regarding any problems with their application, for order processing and also to send orders.

Credit card information is obtained for purposes of application processing or ordering products and is not stored with the certification holder’s record. Staff retain this information separately for internal processing only and it is deleted after processing is complete. 

CAOHC contracts with outside vendors for the purpose of shipping products and helping to administer the CAOHC Learning Center system. Vendors have agreed to protect address information and other contact information by signing a Data Processing Agreement (DPA).

Verification of Course Director (CD) certification credentials and contact information is made available through the CD Directory at www.caohc.org. Each CD provides their contact information and gives permission for usage.

Staff uses contact information to access and maintain records on certificate status, and to provide all current certification holder’s with CAOHC communications. These include:

  • e-mail notices (i.e., updates)
  • recertification notices and information
  • Online web site access support
  • Oversight of activities of the CAOHC staff
  • Communicating with certification holder’s and committees on issues and coming events
  • Reporting on CAOHC activities, goals and achievements
  • Developing strategic and tactical direction for CAOHC

Promotional materials are occasionally sent via email. Individuals who are not CAOHC certificate holders will not receive promotional emails from CAOHC.

Mailing lists of our certification holders are made available to CAOHC Course Directors and to relevant vendors for a fee. Email addresses are not shared or sold in any manner.

CAOHC is not responsible for the privacy practices or content of other Web sites. We encourage you to read the privacy statement of each Web site you visit.

OPTING OUT

Certification holders may unsubscribe from emails by emailing staff at info@CAOHC.org, using the subject line “Unsubscribe”.

Individuals may contact us at any time to request a copy of information that we have about you, correct any information that we have about you or delete information we have about you. These requests may be emailed to info@CAOHC.org, using the subject line “Update My Personal Information”.

CHANGES TO THIS POLICY & ENFORCEMENT

CAOHC reserves the right to revise, amend, or modify this Privacy Policy, our Web site Terms of Use, and our other policies and agreements at any time and in any manner. If we make any substantial changes to the way we use certificate holder’s Personal Information we will notify them by e-mail and provide a prominent notification on our website.

If you have any questions about this privacy statement, the practices of this website, or your dealings with it, or have a concern that these privacy provisions are being violated in some way, please contact CAOHC.

It is CAOHC’s policy not to use or share personal information about users in ways unrelated to the ones described above without also providing you an opportunity to opt out or otherwise prohibit such unrelated uses. However, CAOHC may disclose personal information regarding your use of our site if we believe that it is reasonable to do so, including the following:

  • to satisfy laws, such as the Electronic Communications Privacy Act, regulations, or governmental or legal requests for such information
  • to disclose information that is necessary to identify, contact or bring legal action against someone who may be violating our Web site Terms of Use or other user policies
  • to operate the site properly; or to protect CAOHC and our users

CAOHC may use cookies to collect, store, and sometimes track information for statistical purposes, to improve the products and services we provide, or to save your settings and to provide customizable and personalized services. These cookies do not enable third parties to access any of your personal information.
